Privacy Policy
This policy explains how Girl Viking uses personal information when you browse the site, join the mailing list, contact us, or book a retreat. It was last updated on 17 October 2026.
1. Who we are
Girl Viking is the controller of the personal information described here. If you have a question about your information, email ninavanns@yahoo.co.uk.
2. Information we collect
When you book a retreat, we collect:
- Your name, email address, phone number, and date of birth
- The retreat, ticket types, optional extras, and amounts for your booking
- Names of the people attending, and any dietary needs, pole experience, or other requirements you choose to tell us
- An emergency contact name, relationship, and phone number
The contact form collects your name, phone number, email address, and message. The mailing list collects your email address. If you message Nina on WhatsApp, that conversation is handled by WhatsApp, not stored in our booking system.
Card and payment details are entered on Stripe’s checkout. We keep a record of what was paid, what is still due, and the booking reference. We do not store your full card number.
3. How we use it
We use this information to:
- Take and manage your booking, including deposits and instalments
- Send your confirmation, payment reminders, and practical information about the retreat
- Plan classes, accommodation, and dietary or other needs you have told us about
- Reply when you contact us
- Send mailing-list updates, if you have asked to hear from us
- Keep records we need for accounts, complaints, and our legal obligations
Booking details are used because they are needed for the retreat contract. The mailing list is used with your consent. You can unsubscribe at any time by emailing ninavanns@yahoo.co.uk.
4. Who we share it with
We share information only where it is needed to run the retreat or the website:
- Stripe, to take card payments and show you your payment schedule
- Resend, to deliver booking emails, payment reminders, and contact-form messages
- Our website host, to store the site, retreat photos, and booking records
- Instructors or venue staff, where they need a guest’s name or a requirement in order to run the retreat safely
We do not sell personal information. Some of these providers may process information outside the UK. Where they do, we rely on the protections they offer for international transfers.
5. Cookies
After you confirm a booking, or enter the email address used for that booking, we store a cookie on your browser so you can reopen your booking page without entering your email again. It lasts for 30 days and is only used for that booking. The site does not use advertising or analytics cookies.
6. How long we keep it
Booking and payment records are kept for up to six years after the retreat, so we can deal with accounts, complaints, and legal claims. Mailing-list addresses are kept until you unsubscribe. Contact-form messages are kept for as long as we need them to respond and follow up.
7. Your rights
You can ask us for a copy of your information, to correct it, to delete it, to limit how we use it, or to object to certain uses. Where we rely on consent, you can withdraw it. You can also complain to the Information Commissioner’s Office at ico.org.uk.
Email ninavanns@yahoo.co.uk and we will respond. Our terms and conditions explain the booking contract itself.
